Check-Out and Borrowing Procedures


How to Check Out and Borrow Library Materials

Step 1. Find the item or items you would like to borrow from the library. Ask a library staff member for help if you are unsure how to locate an item.

Step 2. Bring the item with your Valencia ID card to the Service Desk or Self Service Check-Out station on the first floor. Your Valencia ID card is your library card, and the number on the reverse is your Borrower ID number. If this is your first time borrowing materials from a Valencia library, please see the Service Desk. Students must be enrolled in classes during the current semester to be able to check out and borrow material.

Step 3. Borrowers can access information about the status of their library accounts by logging in to My Account with a validated Borrower ID number.

Terms & Guidelines

Circulating Materials

In the library, the terms "circulation" and "circulating" refer to items that are able to be checked out and borrowed from the library.

The library's circulating collection for patron checkout consists of books, DVDs, videos, CDs and CD-ROM software. The collection contains materials that support academic research, as well as materials for personal enrichment.

  • Currently enrolled students, faculty and staff of Valencia, enrolled students of the Florida Community College System and the State University System may check out library materials with a valid student ID card.
  • A valid student ID must be presented at the time of loan transaction.
  • Borrowers may have a maximum of 25 items checked out on their account.

Reserve Materials

Reserve materials are placed on reserve by instructors to maximize access to a limited amount of material. Reserve materials consist of textbooks, books, solution manuals, magazine articles, sample tests and other materials. Some reserve materials are for library use only and cannot be removed from the library.  

  • The reserve materials loan period varies from 2 hours to 7 days.
  • Reserve items at West Campus Library are only available to Valencia and UCF students.
  • A Valencia ID card (or UCF ID and borrower card) is required to check out reserve materials.

Renewals

Renewals of circulating materials may be requested and received by the library ON or BEFORE the due date. Materials may be renewed online by using LINCC's My Account feature, by calling the library Service Desk at (407) 582-1574, or by visiting the Service Desk in the library (1st floor).

  • Students may renew checked-out materials a maximum of two times.
  • Materials may not be renewed if another user has placed a request on the item.
  • Overdue materials may renewed up to 30 days after the due date; however, fees will accumulate during the overdue period until the item is renewed or returned.
  • Reserve materials may be available for renewal based on demand, at the discretion of library staff.
  • Currently enrolled students may renew items beyond the final due date of the semester ONLY if they are also enrolled for the following term.

Return of Materials

Materials must be returned to the Book Return located at the Service Desk (1st floor), or to the Book Drop located outside of Building 6. Staff will return materials belonging to other Valencia libraries.

  • Materials returned after library hours on the due date will NOT be considered overdue.
  • Please see a Library Services staff member if you are returning a lost or damaged item.

Overdue Circulating Materials

The receipt given at the time materials are borrowed is the library's official notice of material due date. The borrower is responsible for returning materials on time or renewing them ON or BEFORE the due date. Late fines are assessed beginning the first day the materials become overdue at a rate of $.25 per day, per item.

Notices

The library sends overdue notices ONE DAY and again ONE WEEK after materials are due. The borrower is responsible for notifying the college of any change in address. Failure to receive notices does not affect the assessment of fines.

Replacement of Lost Material

Materials that have not been returned after 20 days from the due date will be declared LOST automatically. The borrower will be assessed a Lost Replacement Fee (based on the value of the material) and a $5.00 non-refundable Processing Fee. A lost material refund may be obtained if the material is returned within 10 business days after being declared lost, less the processing fee.

Damaged Materials

The borrower will be responsible for cost of repairs to damaged materials. If materials are damaged beyond reasonable use, the current replacement price will be charged to the patron. If the material is out-of-print or no longer available, a default price and a $5.00 non-refundable processing fee will be charged to cover the cost of replacing the material.

Library Fines

  • Circulating Materials - $.25 per day
  • Reserve Textbooks - $1.20 per hour, up to a maximum fine of $100.00
  • Other Reserve Materials* - $1.20 per hour, $.50 per hour, or $.25 per hour, up to a maximum fine of $5.00 - $100.00, depending upon the material.

*Rates vary depending on item.

Non-Payment Penalties

If you do not pay your library fines:

  • You may not be able to get your grades
  • You may not be able to register for classes
  • Your diploma may be withheld
  • Your transcripts may be withheld.

Privacy of Circulation Records

The Family Educational Rights and Privacy Act of 1974 (20 U.S.C. Sec. 1232g), also known as the Buckley Amendment, requires that all student records, including library circulation and fine records, be private.  In order to comply with this law, no information regarding circulation transactions or fines will be released without a valid photo ID (Valencia ID for current students). Protected information can be released over the telephone ONLY AFTER the receipt of a written request for information, including name, address, telephone number and signature.  A written request for information may be telefaxed to the West Campus Library at (407) 582-1686.
