News from Procurement

What Account (GL code) do I use?  Account Codes are used to expense goods and services that the College procures. It is very important to use the correct code for reporting purposes. Here is an example: for webinars or on-line seminars, use the account 605100.

A helpful detailed list with descriptions on the different account codes can now be found on the Procurement web-site: http://www.valenciacc. edu/ procurement/facultystaff_FAQs.asp

Adding Freight on Banner Requisitions - If you are purchasing an item that has freight associated with it, use the Additional field on your requisition to enter the freight amount.  Do not create a new line for freight.

pdf

Do not create a line with zero dollars for any reason.  If you need more room for your description, use Options>Item Text.

Purchasing Card FAQ:

Q: May a fellow Valencia employee use my PCard to a make a business purchase? A: No. Per the PCard training manual - delegation, or giving an individual other than the named cardholder the ability to initiate or complete a transaction using a card is not permitted. This includes someone other than the cardholder having physical possession of the card, access to the card number and expiration date, and access to receipts or invoices that display the card number and expiration date. Note: this restriction does not preclude cardholders from making purchases themselves on behalf of other persons/departments with the proper approvals. For information on obtaining a Procurement Card, visit the Procurement website at: http://www.valenciacc.edu/ procurement/ProcurementCard.asp

Fun Stuff - True or False (see answers below)

  • A Valencia Employee can also be a consultant to the College.
  • A Banner requisition can be created using different Index’s and Account’s.
  • The PCard can be used for meals when traveling for the college.
  • Questions/or requests sent to the common Procurement e-mail address are answered quickly.
  • Tissues, sanitized gel/spray, desk accessories, fans, or personal convenience items can be purchased using college funds.

Answers – 1: False; 2: True; 3: False (A per diem must be completed after travel.); 4: True (This is a common e-mail address that everyone in the department has access to so it is always best to use this address in case personnel are out of the office.); 5: False for Fund 1 but True for Fund 6.

Multi-functional Devices (a.k.a. copiers) - Multi-functional devices are equipment that are either leased or purchased by the College depending on the need. This collegewide function is coordinated by the Procurement Department who oversees the program and budget.  All MFD’s are networked and have unique IP addresses for data transfer. Copiers should not be moved without consulting the Procurement Department. Any questions regarding MFD’s should be directed to Mary Ellen Davies, ext 5527.

Valencia Community College + Siemens=Energy Savings; Energy Savings =$

A message from Facilities Energy Department - In a time of reduced budget and dwindling funds from the Department of Education, Valencia has found a way to subsidize their operating budget by partnering with Siemens Building Technologies to plan, organize and develop energy projects that produce positive cash flow. The implementation of the project was divided into two phases; phase one is associated with the upgrades on West Campus, and phase two covers East Campus and the Criminal Justice Institute (CJI).

Since the formation of this partnership about two years ago, the college has experienced a number of major energy related upgrades that have yielded a 30% reduction in the energy budget. Valencia is excited to announce the completion of phase one, a major renovation of the chiller plant on West Campus. This upgrade included the replacement of the old antiquated chillers and boilers with four state-of-the art 500-ton chillers, and the chiller water lines were extended to include all existing buildings as well as the three new  buildings, 8-Special Events Center, 10-Allied Health Building, and 11-UCF Joint Use Building.

In addition to the transformation of the chiller plant, the college also invested in the upgrade of infrastructure wiring and power supply which included the placement of new transformers and main feeders.

Phase two consists of a conversion from individual air cooled chillers to a complete water cooled central energy plant on East Campus; with the addition of a new campus-wide building automation system. The two new chillers, rated at 650 tons each, are magnificent pieces of equipment. They are equipped with a number of sensors and built-in computers that are both sensitive and intriguing. Another interesting feature of this plant is the process by which the rain water run-off from the roof is used to supplement the make-up water for the cooling towers. This feature contributes to the water savings that is also very critical in the sunshine state, and a key sustainability feature of this project.

The installation of the thermal storage system at CJI is almost complete. With this technology, Valencia will be building ice during off peak electrical periods and melting the ice for cooling purposes during off peak hours when electric costs are higher. This concept of using ice to enhance the cooling process is phenomenal.

Phase two is about 70% complete, but the changes are already making some positive contributions to energy performance.

Outlook Tip-of-the-Week: How can I manage my Unified Messaging voice mails

Unified Messaging is a Voice Mail system that integrates with MS Exchange and can be accessed through either your telephone or MS Outlook 2007.

Here is a quick tip that can help manage the voice mails by setting them aside and clearing up the clutter in your inbox. When you receive a new voice mail or a missed call notification it will go directly into your inbox. For some of us this can make if difficult, if not awkward, to manage voice mails.

Create a new mail folder and name it _VoiceMail (this will move the folder to the top of the folder list)

Create a new rule where the subject contains "Voice Mail" and "Missed Call" and select "moved it to the _VoiceMail folder"

If you use Favorite Folders in Outlook click and drag the _VoiceMail folder to it. All of your voice mail will be at the top and will readily indicated if you have unread voice mail.

For the Unified Messaging Quick Start Guide go to valenciacc.edu/oit and click on the Unified Messaging link.
