Reminder from Human Resources
All employees should designate an emergency contact. When an employee becomes ill or is injured while working, they may not be able to communicate with others regarding how to contact a friend or family member. For this reason, ALL employees are encouraged to designate at least one person as an emergency contact and provide information that would allow Human Resources to reach the designated person on behalf of the employee. An emergency contact may be a friend, neighbor, relative – anyone the employee selects. The designated emergency contact person will only be contacted in the event of a true emergency.
Emergency contact information can be viewed, added, and updated by logging into Atlas and selecting the “Employees” tab. Emergency Contacts: View or Update is listed in the Employee Services section near the center of the screen. Select "Update" to add an emergency contact if none has ever been submitted and to change existing emergency contact information or add a second name/number to the list. Select "View" to review existing emergency contact information. Employees should review their emergency contact information from time-to-time and update it when appropriate.
An additional suggestion from a caring Valencia employee - employees may also want to use their cell phones as a method of communicating an emergency contact. An employee may designate one number on a cell phone and preface it with “ICE” which is an abbreviation for “In Case of Emergency.” Emergency and medical personnel may check an unconscious person’s cell phone list for ICE contact information. This is a good idea for everyone in general so share this suggestion with your friends and family members.

Aging Parents - Parenting parents: What You Need to Know as Your Parents Age (Presenters: Helen Von Dolteren Fournier and Julie Kronhaus) - Join us for a workshop created just to help you manage your concerns or questions regarding your aging parent(s). If you are the primary caregiver or simply concerned for the sake of your parent(s) or parent(s)-in-law and need answers, consider joining us. If you have any of the following questions, consider attending:
- What legal documents should every parent have in place? If my parents executed their documents 20 years ago, up North, are they still good?
- What if my parents outlive their money - what assistance/benefits are there for them? How do I find out about these programs?
- Do you and your siblings agree on the long-term care plan for your parent?
- My widowed mother wants to marry someone she has met at the Senior Living Center - what should she consider, legally, before she marries?
- I suspect that my brother is misusing the Power of Attorney - what can be done?
- Is it true that my father must 'give away' or 'sell' all his assets, including his home, to qualify for Medicaid assistance?
- What is Guardianship and how will I know if my parent needs it?
- My mother has passed but my stepfather is still living; how can I approach him to speak about these types of issues?
- My father was a WWII veteran - is he eligible for any VA long term care assistance and will my mother be eligible too?

Circles of Belonging – (Presenters: Gerald Jones and Joe Nunes) Ever wonder what makes a person tick? Valencia’s Center for Leadership Development is presenting leadership briefings on Crucial Conversations: Tools for Talking When the Stakes are High and Influencer: The Power to Change Anything from 8:30 a.m. to 4:30 p.m. on November 13 at Valencia's West Campus.
This powerful one day leadership development workshop is designed for leaders who want to transcend challenges and problems in an effective way that achieves results. In partnership with Gems Consulting, Valencia’s Center for Leadership Development is proud to offer two workshops in one day based on the best-selling books Crucial Conversations and Influencer.
Participants will receive both of the books, continental breakfast and lunch. Make this a great professional development day for your whole team. Workshop fee for Valencia employees is $259 per person and SPD funds may be used for this event.
MONEY BASICS™ - This comprehensive program covers all aspects of personal money management including advanced topics such as education planning, estate planning, investments, and determining insurance needs. Designed for individuals who desire to learn the basics of money management. Topics include setting financial goals, managing income and estimating expenses, tax planning, retirement planning, and a review of the sponsoring company benefits. Upon completion of this six hour workshop, participants will have the tools and knowledge to develop their own financial plan.
This six-hour workshop is being offered Oct. 12, 19 and 26 from 6 to 8 p.m. OR Nov. 5, 12 and 19 from 6 to 8 p.m. at the Sand Lake Center. The fee is $195 and you can bring a spouse or friend for an additional $59. To register please call ext. 6688

A new Step by Step Walking Program begins September 14th. Walking is a great way to become physically active. This is a 12-week program and for each step you record you earn wellness bucks. Outlook Tip of the Week from OIT - Sharing Distribution Email Lists
The following was published in the July 6th Bulletin but since adding Adjunct Faculty and many departments needing to set up new personal Distribution Lists this information may be very helpful.
There are Global Distribution Lists that are fairly inclusive for large groups but may not always serve the departmental level needs. You can create a shared contact folder and a distribution list within that folder:
- Create a custom contact folder (rather than share your main contact book)
- Click on Contacts
- From the top menu select the down arrow and then select Folder (or CTRL+SHIFT+E)
- Give a name to the folder and save it
- Create a custom distribution list (make sure you have selected the new folder)
- From the top menu select the down arrow and then Distribution List (or CTRL+SHIFT+L)
- Give a name to the DL
- Click on Select Members from top icons – this will open up the Global Address Book
- To select people from your own lists click the down arrow under Address Book
- When done adding members select Save and Close on the upper left.
- Sharing the Contact Folder
- Click File > Folder > Change Sharing Permissions
- Click Add and select those who need access to the list
- Click Apply
- Define the Access Levels
- Highlight the person(s) you have added
- Using Permissions Level select the down arrow and choose the level of access.
- E-mail the people you have shared this with to let them know you have shared it with them
- Accessing a shared DL
- Under Contacts Current View select Open Shared Contacts
- Type in the user name of the person who has shared it – or select the Open button and choose the person from the Global Address List
- The Contact Folder will now appear in People’s Contacts
E-mailing a shared DL
- Open the Contact Folder and double click the shared DL listed
- At the top of the group find the icons grouped above Communicate and select E-mail, which will open a new e-mail window with the Dl in the To field
