Save the Date for A Taste for Learning
Valencia Foundation and UCF Foundation have partnered for this year’s A Taste for Learning on Saturday, October 17. The event will be held at Rosen Shingle Creek from 7-10 p.m. Tickets are $125 per person or $200 per couple. Please visit www.valencia.org/taste to purchase tickets and reserve your room. Rooms are now available at a discounted rate.
Through the sponsorship and support of ABC Fine Wine and Spirits, vintners from around the world will be pouring their finest wines. Attendees will have the opportunity to speak and mingle with international winemakers and vintners throughout the evening. Gourmet cuisine will also be provided and there will be a silent auction featuring wines, spirits, travel packages and unique gifts.
Call ext. 3150 if you have any questions and remember that 100% of all sponsorships, tickets and auction receipts will go directly to scholarships. So come enjoy a great night for a great cause – our students!
Termination Reminder for Supervisors or Managers from Human Resources
Supervisors or managers of part-time hourly and work study student employees, are reminded to notify Human Resources when an employee resigns, transfers to another department, or is dismissed and will no longer be working for the department or Supervisor / Manager. Human Resources will need the last date worked for the specific position number. Please contact Human Resources at ext. 8033 to be directed to an HR Specialist for assistance.
News from Procurement
Institutional Memberships Using Your PCard - Because the college is responsible for reporting all institutional memberships, when renewing any Institutional Membership using your PCard, please type in the Transaction Notes:
- Name of the Organization
- Name of employees
- Period covered by the membership
Transaction Details in PaymentNet - Transaction notes in PaymentNet should list the type of items/services you have purchased. If the vendor does not have Third Level reporting capabilities like Office Depot or Dell, where you can drill down to the line items, then a good description of your purchases should be listed. While an invoice number may be a reference to you, it is not clear to the auditors.
Do not type “supplies or miscellaneous items” for XYZ function. We need to know what type of supplies they are and what purpose they are being used for. Purchases may be self explanatory to the card holder, but approvers, administrators and auditors need detail.
Office Supplies - Procurement works very hard to get the best possible price, excellent customer service, and best suppliers for the college to meet everyone’s needs. Contracts and agreements are put in place to guarantee we meet these requirements.
When purchasing office supplies, you should always use either one of Valencia's bookstores or order on-line through Office Depot. Our contract with Office Depot saves the college 40% off retail on most items. While Target and WalMart are discounted chains, their pricing is still retail and the savings minimal.
To be set up for on-line ordering with Office Depot, please send an e-mail to Valencia procurement@valenciacc.edu and include your PCard number. Easy instructions will be sent to you and next day ordering is the norm. For last minute items, Valencia's bookstores are convenient and located on West, East, Winter Park and Osceola campuses.

If a workshop is canceled, only those registered can be sent a cancellation e-mail. Outlook Tip-of-the-Week: Accessing Valencia E-mail off Campus
Accessing your Valencia e-mail from a computer off campus just got easier. Server configurations have recently been completed permitting the use of Outlook 2003 and Outlook 2007 when off campus.
The following configuration is for Outlook 2003 or 2007 on a Windows Operating System and is provided as a matter of courtesy. If you determine you need technical assistance please contact your personal computer support resource. OIT cannot, and does not, support non college owned computers.
Before you begin be sure that:
- all security patches are current
- all service packs for the OS and the Office Suite have been installed
- an antivirus program is installed and the antivirus definitions are current
- you never share your password
Configuring your laptop or home PC for use with the Valencia e-mail system (Outlook 2007) [your method may vary – this is only a guidline]
- Close Outlook
- In Control Panel find and open Mail
- Click on E-mail accounts...
- Select Add
- Enter a name for the account (ex: YourName-Valencia)
- Enter your e-mail address (yourname@valenciacc.edu)
- Enter the same password you would use if you were on campus (NEVER SHARE YOUR PASSWORD)
- Click Next >
- When you get the pop-up to connect to mail-ex01.local.valenciacc.edu enter your user name and password. The user name will need to be entered as "localvalencia\yourname" - without the quotation marks
- Click OK
- When the configuration completes click Finish
- An informational box will appear advising of the change to your e-mail account on your computer. Click OK
- Close the Account Settings window, close the Mail Setup Box, and close Control Panel
Accessing your Valencia e-mail:
- Open Outlook
- The connect to mail-ex01.local.valenciacc.edu will appear again asking for your password
- A box will pop up that says "preparing outlook" - be patient
- If you have rules set up in the office you will be asked to chose between client or server rules - select server
- If there is a rule conflict you will get a pop up asking to import - select NO
- Your mail folder for Valencia will appear as Mailbox-Your Name and you will be able to send and receive Valencia e-mail
