Important Notice to all Supervisors of Career Service Employees
It is time to talk to your full-time career service employees regarding their upcoming yearly performance evaluation. An email reminder has been sent to supervisors which contain helpful guidelines that take you through the process to make this an effective experience. The Career Service Performance Evaluation form #30 is available in Atlas/Valencia Forms.
College policy 6Hx28:3E-01 states that full-time career service employees will be evaluated in writing at least once a year. The policy can be viewed on the Valencia website. From the home page click on Faculty & Staff, then under Employee Resources click on Policy Manual.
For employees who were in your department since July 1, 2008, the rating period is July 1, 2008 to June 30, 2009. Contact Sherian Stevenson, ext. 8042, with any questions.
News from Procurement
Different Delivery Locations - If you are ordering equipment or heavy material that needs to be delivered to several campuses, please create a separate requisition for each campus. Example: Downtown ‘home office’ is ordering 100 lb ‘wigits’ for four campuses. Two each for East, West, Osceola and Winter Park. Instead of having all eight ‘wigits’ (800 lbs) be delivered to Downtown, with no loading dock, and then dispersed to the different locations, create four different requisitions/PO’s that will be delivered to the location by the vendor. This helps out our Courier Service Department and also speeds up the delivery process.
Vendor Solicitation - It seems in today’s economy, the College is being bombarded with overzealous sales persons who are seeking business opportunities regardless of the need. While the Procurement office is prepared to field the daily vendor calls and requests, we understand that departments are also feeling this pressure. Please direct any vendors to our office. We hold monthly vendor meetings to inform companies how Valencia conducts business. It is good, useful information and the vendors are appreciative of our time.

Outlook Tip-of-the-Week: How to deal with corrupt cached e-mail addresses
During the migration from GroupWise to Outlook a conversion utility was used to move the data from one system into another. Because of the many servers used for GroupWise it was necessary to migrate data over several weeks. This necessitated the need to be able to e-mail between the two systems, which caused cached (stored) e-mail addresses to default to an address that contained username@first.administrative group, which is now an invalid address. There are a couple ways to clean/clear these up.
The first one is somewhat labor intensive, but is simple to do and works well. The second requires a higher level of technical know-how and can be somewhat intimidating.
For the first method:
- Open a new e-mail window and, alphabetically, begin to type in someone’s name.
- When the name auto-populates press the Delete Key
- Repeat this until no more names appear (A through Z)
- As you use e-mail address from your address books they will be cached and you will have good e-mails
The second method is quicker and gets rid of all cached e-mail addresses in moments. Here are the directions supplied by Microsoft at http://support.microsoft .com/kb/287623.
Use the steps in the following section to reset the Outlook nickname cache for Microsoft Windows XP.
- Quit Outlook.
- Click Start, and then click Search.
- In the Search Companion left-side panel, click All files or folders.
- In the All or part of the file name: box, type *.NK2.
- In the Look In box, click to select your local hard disk.
- Click More advanced options, click to select Search hidden files and folders check box.
- Click Search.
- Right-click the .NK2 file with the name of the profile that you want to reset, and then click Rename.
- Rename the file to profilename.bak, and then press ENTER.
- Quit Windows Explorer.
- Restart Outlook.
Outlook will generate a new nickname cache. [This will then save/cache the e-mail addresses you use.] For more tips and FAQs click on ‘Ask a Question’ in the OIT Tools on your desktop.
