Human Resources News
Hiring Reminder for Supervisors and Managers - Newly hired part time hourly and institutional work study student employees should never be allowed to begin working until Human Resources has cleared them to do so. The hiring supervisor must receive written authorization from Human Resources before placing a new employee on a work schedule or allowing them to start working. Supervisors/Managers should contact Human Resources at ext. 8033 if they are in doubt about a person's eligibility to work.
Important Information for all 10-Month Faculty - There are 26 pay periods in academic year 2009-2010. All 10-month faculty have the option of having their base salary disbursed in 22 payments over ten months, based on academic appointment, or in 26 payments over twelve months. Once the first payroll for the academic year is processed, this option may not be changed until the next academic year.
Human Resources is posting this notice in the Bulletin as a reminder to 10-month faculty that changes to the current salary payment option may be made in June or July for the coming academic year. All 10-month faculty have this annual opportunity to revise their salary payment option. No action is necessary unless a change is being requested.
Faculty wishing to make a change, are required to complete a Payment Option Form for 10-Month Faculty. The form is available online through Atlas at Valencia Forms. To make a change, a faculty member must complete the form and submit it with an original signature to Human Resources no later than July 31. Changes are then effective for the first payday in the new academic year. Please contact Vicki Nelson at ext. 8031 if you have any questions.

Collaboration at the Learning College - Join Valencia's leaders for a conversation about our habits of collaboration. Questions to be considered include: What is collaboration at a learning college? Why do we collaborate? What are some characteristics of authentic versus inauthentic collaboration? What are the preconditions for effective collaboration? How do we balance our collaborative process with the need to move work forward? What level of collaboration is appropriate for what types of decisions? Procurement News
PCard Procedures and Guideline Manual - An updated PCard Procedures and Guideline Manual is now available on line. Version 2.8 (June 2009) can be found at http://www.valenciacc.edu/procurement/Procurement
Card.cfm. Please replace your older version with this latest one. Always review the current version to be aware of PCard procedures as this type of purchasing is under constant audit review.
Highlights included in Version 2.8:
- Cardholder credit limits are initially based on your departmental budget, then in accordance with average monthly spend.
- Copies of documentation for all payments processed through PayPal are required to be sent to Procurement for review. Copies are to be signed by both the card holder and approver.
- Appropriate penalties will be strictly enforced regarding PCard use (personal charges, allowing someone other than the named cardholder to use the account, failure to review/approve transactions, insufficient funds, sales tax charge, incorrect GL code, purchases not complying with college policy, etc.)
- First offense: cardholder and coordinator will be notified of violation via email and will be given a card suspension warning.
- Second offense: email notice of card suspension warning will be sent to the cardholder copying the coordinator and Budget Manager.
- Third offense: email notice of card suspension will be sent to cardholder, coordinator, and Budget Manager. The card will be suspended for 30 days and training will be required prior to reinstatement.

Printer Toner Cartridges - All printer toner cartridges have a 30-day return policy. Only order what you currently need. If the cartridge is more than 30 days old, the cartridge cannot be returned to the supplier. Please make sure to check all cartridge packages when they arrive for any defects. It is also recommended not to store toner cartridges for more than six months.
Outlook Tip of the Week from OIT - Sharing Distribution Email Lists
There are Global Distribution Lists that are fairly inclusive for large groups but may not always serve the departmental level needs. You can create a shared contact folder and a distribution list within that folder:
- Create a custom contact folder (rather than share your main contact book)
- Click on Contacts
- From the top menu select the down arrow and then select Folder (or CTRL+SHIFT+E)
- Give a name to the folder and save it
- Create a custom distribution list (make sure you have selected the new folder)
- From the top menu select the down arrow and then Distribution List (or CTRL+SHIFT+L)
- Give a name to the DL
- Click on Select Members from top icons – this will open up the Global Address Book
- To select people from your own lists click the down arrow under Address Book
- When done adding members select Save and Close on the upper left.
- Sharing the Contact Folder
- Click File > Folder > Change Sharing Permissions
- Click Add and select those who need access to the list
- Click Apply
- Define the Access Levels
- Highlight the person(s) you have added
- Using Permissions Level select the down arrow and choose the level of access.
- E-mail the people you have shared this with to let them know you have shared it with them
- Accessing a shared DL
- Under Contacts Current View select Open Shared Contacts
- Type in the user name of the person who has shared it – or select the Open button and choose the person from the Global Address List
- The Contact Folder will now appear in People’s Contacts
E-mailing a shared DL
- Open the Contact Folder and double click the shared DL listed
- At the top of the group find the icons grouped above Communicate and select E-mail, which will open a new e-mail window with the Dl in the To field

It’s a joke that’s been around for years. If a man does something wrong, he’s “in the dog house.” But how to get out of the dog house is another problem altogether. John Scolaro, professor of Humanities, West Campus, explains just how to do it in his soon-to-be published book, American Dog House. Filled with good-natured humor and a lot of old-fashioned fun, Scolaro plays off the humor, sarcasm, and wit of Andy Rooney, Dave Barry, and Lewis Grizzard. The book will be available online at iUniverse.com and in local bookstores by the end of July. But don't look for it under the name John Scolaro; his pen name is "Willie GetOut?"
