News from Payroll

A comprehensive, printable pay stub is now available through Employee Self Service in ATLAS. We will no longer be distributing printed direct deposit statements. To access the online pay stub you must:

1.  Log into ATLAS.

2.  Navigate to the "Employees" tab.

3.  Select “Pay Stub (by payday)" under Employee Services, Pay Information.

4.  Select a pay stub year from the pull-down menu and click "Display."

5.  Click on the pay stub date for the pay stub you wish to view/print.

Please be sure to distribute this information to all of the employees in your department - including your Part-Time, Student and Adjunct employees.  If you have questions or comments, please contact Joe Livingston, ext. 8069, or Bettie Cooper, ext. 8100.


Learning Day Logo

Join your friends and colleagues in a celebration and renewal of the values that have led Valencia to be one of the premier learning colleges in the country. Learning Day ‘09 offers full-time employees the opportunity for professional development, personal enrichment, a Wellness Fair, and communal conversations. The day will highlight conference-style workshops, food and community building on our East Campus on February 20, 9 a.m.-4:15 p.m. A continental breakfast will be served from 8-8:45 a.m. so please come early to mingle with your colleagues and friends.

The general theme for the 2009 College Learning Day is centered on the Foundations of Excellence Self Study. Some of the workshops will focus directly on the Foundations of Excellence Dimensions, but there will also be a wide variety of additional workshops that will appeal to all faculty and staff.

All full-time faculty and staff will be receiving a copy of the Learning Day 2009 program through the interoffice mail this week. We encourage you to view the catalog to select those workshops you would like to attend in each of the four sessions prior to February 20. There is no pre-registration for the workshops and admittance is on a first come first served basis. A copy of the program can also been downloaded at http://valenciacc.edu/learningday/agenda.asp. Leadership Valencia

Making Sense of Your Data with Excel - Overwhelmed with data? Learn how to make sense of your spreadsheets with Excel tools. This hands-on workshop will cover Excel topics including filtering, sorting, conditional formatting, charts and graphs, pivot tables, mail merge, and more. Universal Design in Education: From Principles to Practice - This workshop will explore how universal design can create a welcoming and inclusive learning environment for all students. Discussion and activities are focused toward providing suggestions for improving accessibility of courses and services that will take into consideration the diverse learning styles, abilities and disabilities of students. Discussion will include information on relevant legislation, principles of universal design, and specific ways to create inclusive classroom environments. Participants will leave with ideas of how to incorporate practical universal design strategies to their instructional practices. Banner 8 and Refresh Training - This Banner training session will cover some improved features that come with release eight. We will also do some refresh training on select topics. Improved features include: Course Section Creation, Course Section Waitlist, Registration Min/Max Credits, and Atlas view of Financial Aid information. Refresh topics include: Creating a faculty member, Section creation for Dual Enrollment, and AR accounts, TSAAREV, TSASPAY, TSADETL. Choose from one of the following:

If a workshop is canceled, only those registered can be sent a cancellation e-mail. News from Procurement

Toner Cartridge Scams - Beware of solicitors who call you and want to send you any type of toner cartridges. The college has contracts with our copier vendors who provide us with FREE toner (cost is covered in our service contract). Desk top printer toner is ordered when needed by departments. There are four local companies that we distribute the orders among and all four companies along with their contacts are listed on our website: http://www.valenciacc.edu/procurement/facultystaff.asp

Procurement encourages departments to submit quotes with their requisitions under $3,500. A quote for any item/service is recommended for purchase regardless of the total cost. This gives you (the user) a good idea of the item cost, any additional costs and freight charges. By having this information prior to the purchase will cause no surprises when the invoice is sent for payment. For purchases between $3,500 and $24,999, three (3) written quotes are required and should be sent in with your requisition. The PCard cannot be used for items in this category requiring quotes. Procurement will help obtain any quotes that are needed provided we have a good description of what is required.

Retention of Records and Destruction of Records - The Bureau of Archives and Records Management in Tallahassee, publishes a “General Records Schedule for Universities and Community Colleges.” This publication includes the length of years records should be kept and the proper disposal of them. The website for this information is http://dlis.dos.state.fl.us/recordsmgmt/gen_records_schedules.cfm

At Valencia, should you have old records that need to be destroyed (shredded), place a work order through Plant Operations for the pickup of such documents. Seal the box and label it “Shred”. The college has a company that comes to dispose and shred documents properly.  A certificate of destruction is issued for your records.

Attention Procurement Cardholders - As part of the PCard reconciliation process, each PaymentNet charge should have transaction notes attached. These notes should be clear enough to depict the nature of the actual item(s) and/or service paid for. Terms such as “miscellaneous supplies” or listing an invoice/order number by itself does not meet this criterion.  When writing your notes, write it as if you were explaining it to an auditor!

The next Brown Bag Lunch will be February 10. Join us as Blue Cross Blue Shield of Florida presents Stress Management. West Campus, 11a.m.-12 noon, 3-113 or East Campus, 1-2 p.m., 1-212.

The Wellness Fair will be at Learning Day. Look for all the events featured in the Learning Day Program. While you’re at the Wellness Fair be sure to sign up for the 4th annual Run, Walk & Roll 5K event on March 1. You will receive a free pedometer when you do.

Deadline Approaching for Submitting Orders for Commencement Academic Regalia

Commencement will be held on Saturday, May 9. The college is using Jostens again this year. Head sizes will no longer be needed because the caps are adjustable. Please contact Lisa Yenke for an order form if you have not received one in the mail.  All orders must be submitted to Lisa Yenke at mail code DTC-4 prior to March 20.

Valencia will pay for the rental of your regalia if ordered by March 20. Payment for any orders received after March 20 will be the direct responsibility of the employee along with any surcharges for shipping. Regalia rates are:  Associate-$20.70; Bachelor-$20.70; Master-$24.90; Doctor-$30.15 (all prices include gown, cap, tassel and hood).

You are encouraged to take advantage of this opportunity to order your regalia without charge. If you have any questions, please contact Lisa Yenke at ext. 3401.

You will be notified via email when the academic regalia have been delivered to your campus Business Office.


Valencia Film Celebration Kicks Off With Black History Month Tie-In

The 14th Annual Valencia Film Celebration will take place on Friday, Feb. 13 and Saturday, Feb. 14 in the Performing Arts Center on the East Campus. All the films to be shown are Valencia produced.

The film celebration will begin Friday night at 7:30 p.m. with a screening of Jon Anderson’s film, “Silver Wings & Civil Rights: The Fight to Fly,” a documentary about the first group of African-Americans to fly for the U.S. military. A music video for Miss Ola will follow.

Three of the Tuskegee Airmen, whom the Silver Wings movie is about, will be present at the event. Lt. Col. Hiram Mann, Lt. Col. Leo Gray, and Lt. Col. Eldridge Williams will conclude the evening with a Q&A session. These honored guests are brought to the film celebration in collaboration with Valencia’s African American Cultural Society.

On Saturday the celebration continues with the screening of three feature films. “The First of May” will begin at 5 p.m. followed by “Blowfish” at 8:00 p.m. Then, the night will close with a special sneak screening of the urban comedy, “Out on Parole” at 10 p.m.

General admission on Friday is $5 for adults and $3 for children 12 and under. Saturday is $5 per show or $10 to see all three films. Admission is free for Valencia students, staff, and faculty with a valid Valencia ID. Doors open half an hour prior to the show.

Each year Valencia's Film Celebration showcases a variety of feature-length and short subject films produced by the film program's students in collaboration with film industry professionals. Valencia Theater Presents Shakespeare’s The Tempest

The Valencia Character Company will present the William Shakespeare classic, The Tempest, on Feb. 18-22 and Feb. 25-March 1 in the Black Box Theater on Valencia Community College’s East Campus, located at 701 N. Econlockhatchee Trail in Orlando. Curtain time is at 7:30 p.m. Wednesday through Saturday and at 2 p.m. on Sundays.

Considered one of Shakespeare’s greatest plays, The Tempest takes place on an enchanted island, where a magician named Prospero has been living in exile. When Prospero finds out that his enemy, Alonso, is sailing by, he creates a storm at sea. Alonso and the crew jump ship, winding up on Prospero’s island, where they fall prey to the plots and schemes of the fanciful characters that live there. 

Under the direction of respected local actor/director John DiDonna, Valencia’s performance will take on an African aesthetic, with native-looking spirits and voodoo/Santeria influences.

Central Florida actor Roger Floyd will play the lead role of Prospero. A company of Valencia students and actors from the community will complete the ensemble, which includes a core of island drummers who will punctuate and underscore the action.

Ticket prices are $8 for general admission and $6 for seniors and Valencia students, staff and alumni. Also, Valencia is offering a special $5 ticket to all high school students, for any performance.
