HR NOTES for Support Staff, Supervisors
& Managers
Hiring part time hourly
and work study students:
Newly hired part time hourly and institutional work study
student employees should never be allowed to begin working until Human
Resources has cleared them to do so. The
hiring supervisor must receive written authorization from HR before placing a
new employee on a work schedule or allowing them to start working. Supervisors/Managers should contact Human
Resources if they are in doubt about a person's eligibility to work.
Terminating part time
hourly and work study students:
Supervisors/Managers of part time hourly and work study
student employees are reminded to notify Human Resources when an employee
resigns, transfers to another department, or is dismissed and will no longer be
working in the same department or area.
HR will need the employee's VID and last date worked for the specific
position number which needs to be ended or terminated.
Advanced college credit or
degree:
Administrative, professional, and full time 10 and 12 month
faculty employees may be eligible for a salary increase when they've been
awarded a new degree or have earned additional college credit towards one. These employees must comply with college
policy and take steps before beginning a course of study to ensure they'll be
eligible for an increase. Policies

Teaching during "normal"
working hours:
Full time non-faculty employees who
teach, must not teach during the hours which are considered part of the
employee's "normal" work day unless they use approved vacation or personal
leave or adjust their work schedule to make up the time spent away from their
primary job. HR Form #30, Authorization to Teach During
Normal Working Hours must be completed in advance to document how the
teaching hours will be handled.
The employee checkout process:
In accordance with college policy 6Hx28:07-31, full time employees
who terminate or go on a leave of absence lasting more than 30 work days are
required to out-process. Full time employees who go part time are usually required to
out-process as well. When notified that
a full time employee is leaving or going on a leave of absence, Human Resources
will send a checkout form to the employee.
Copies of related policies and instructions on how to complete the
process will be included. If an employee
is unable to complete the checkout process, his/her supervisor is required to
complete it for the employee.
