Summer Hours and Overtime Calculation

 

 

Since there still seems to be a bit of confusion, evidenced by several phone calls and visits to payroll, we wanted to revisit our memo and clarify some details. Please take the time to read this as is it not an exact duplicate of the memo sent out in earlier in the month. 

 

It's that time of year again, our Summer Hours started on May 7, 2007 and will end on Friday, July 13, 2007!  This wonderful benefit was designed to be family friendly in the summers by essentially awarding four hours of comp time per week to every hourly employee at the college's cost.

 

In past years there has been some confusion regarding how these hours are documented in the time cards.  To avoid any problems this year we are asking that you please adhere to the following procedures:

 

·        The 4 hours of summer hours comp time will be entered on the time card every week as Leave with Pay/Comp.  Do not bank these hours to use at a later date.

·        If a career service employee works more than 36 hours in a week, those hours will be paid at the normal overtime rate.  For example, if an employee actually works 37.5 hours they will have a total of 41.5 hours for the week when combined with the 4.0 hours of summer comp time.  This gives them 1.5 hours of overtime that will be submitted to the Payroll Services Department on the overtime form (not banked and submitted as comp time for later use).  In this case the employee would:

o   Document the actual hours worked

o   Enter the summer comp hours as "Leave with Pay/Comp"

o   Calculate overtime from the grand total and complete the overtime form as normal.

·        If vacation or sick time is taken on Friday, only 4.0 hours will be authorized.  An employee cannot take 8.0 hours of leave and then receive the 4.0 hours of comp time on Fridays.

·        Vacation or sick time for any other day of the week would be submitted for the number of hours that the employee is normally scheduled to work on the day he or she is out.

 

By working together we can ensure that our employees' time is properly documented. Please contact payroll if you have any questions about how to fill out the time cards before it becomes an issue.
